Congratulations on successfully starting your period abroad! We hope that you have a wonderful experience. There are still a few organisational matters to take care of to make sure that your period abroad is properly rounded off after you return to Leipzig University.

At the Start of the Placement

First of all, have your enrolment certificate filled in by your host university. This will be issued after your enrolment there and shows the expected period of stay to the day. Upload this document to the portal for stays abroad within four weeks.

You will receive the total amount of financial support (including top-up amounts and up to two standard travel days) minus one month's funding (including top-up amounts).

If you have applied for the 'Green Travel' top-up amount, you will receive this at the end of your stay abroad as soon as you have uploaded the relevant supporting documents to the portal for stays abroad.

If you have already completed a Learning Agreement, you can make any adjustments that may be necessary if your choice of courses changes during your stay. Please do this within the first four weeks.

If you are completing an Erasmus+ stay in Europe, you will have prepared a digital Learning Agreement. Go to “Learning Agreement – Latest Proposal” in the portal for stays abroad, overwrite the courses you want to change and save your changes. After consulting with your subject coordinator, adjust the information about the expected recognition of credits at Leipzig University. Your changed digital Learning Agreement will then have to be approved and sent again by you, the partner university and Leipzig University.

If you are completing an Erasmus+ stay outside of Europe, you will have used the PDF Learning Agreement. You can make changes in the “Changes of Learning Agreement” section in Table A2. After consulting with your department, you should also make changes to Table B2. The document should then be signed by you and those responsible at the partner university and Leipzig University. Scan the document and email it to the International Centre.

What if I want to extend my Erasmus+ studies in Europe?

Please announce an extension of your Erasmus+ study period within the current semester abroad via the portal for stays abroad at least 30 days before the planned end of your stay. 
Please make sure to meet following requirements: The new end date is before 31 July of the study year abroad and within the first examination period of your host university. Additional financial support is only possible if your Erasmus+ time quota (maximum funding period) allows it and Leipzig University has sufficient Erasmus+ funds available.

The final end date is confirmed by the host university within an exmatriculation document like the confirmation of the end of your period abroad. Please upload it to the portal for stays abroad as soon as you receive it.

Please announce an extension of your Erasmus+ period abroad for another semester/trimester via the portal for stays abroad at least 30 days before the planned end of your stay. The "Application for Extending an Erasmus+ Study Abroad/Mobility Phase" must be completely filled out, signed and uploaded in due time.

Please make sure to meet following requirements: The new end of stay is before 31 July of the study year abroad and within the first examination period of your host university. Additional financial support is only possible if your Erasmus+ mobility quota has not yet been exhausted and if Leipzig University has sufficient Erasmus+ funds at its disposal.

Please also complete your Learning Agreement for the extension period in the portal for stays abroad.

The final end date is confirmed by the host university within an exmatriculation document like the confirmation of the end of your period abroad. Please upload it to the portal for stays abroad as soon as you receive it.

Please indicate a shortening of more than 5 days via the portal for stays abroad at least 30 days before the planned end of your stay. This may affect the number of monthly funding instalments granted and thus the financial Erasmus+ support, meaning that the 2nd instalment may either be cancelled or part of the 1st instalment may be reclaimed.

If you stay less than the minimum duration of two months, you will have to reimburse the entire financial Erasmus+ support. You will then receive a separate request for repayment.

At the End of the Placement

In order to have your period abroad recognised afterwards, your host university will issue you with a Transcript of Records. You can either use our document or the host university’s own forms.

Be sure to find out where your host university will send the original copy of the Transcript of Records to. Please also send the Transcript of Records to your institute in order to facilitate the recognition process, and upload it to the portal for stays abroad.

Please ask your host university to fill in the confirmation of the end of the period abroad. Then upload the completed document to the portal for stays abroad within four weeks of your exmatriculation.
